Requesting an EDI Setup with a New Trading Partner?

Congrats! You’re adding a new trading partner! Next step? Requesting an EDI setup.

Here’s how that process happens at eZCom…

eZCom will assign your EDI setup ticket to an EDI implementation specialist.  This specialist will be your eZCom contact throughout the entire EDI onboarding process. Your specialist will create your EDI qualifier and ID (a 2-character alphanumeric code that prefaces the ID) as well as establish an EDI connection with the requested trading partner. The specialist will also email you with the next steps and any information they need from you and your company to move forward.  You will be copied on all relevant email communications between eZCom and your trading partner, ensuring that you are always aware of where we are in your EDI setup process. Should you have any questions at any time throughout the process, you can reach your EDI implementations specialist by phone or email. We’re always here to help.

Next up, Lingo default settings.

In addition to System Settings in your Lingo account, there are default settings required for each trading partner. This is because each EDI trading partner has different EDI requirements, such as invoice terms, shipping instructions, label standards, etc. Out of an abundance of caution, eZCom does not assume these settings will be the same for each trading partner you may have. To ensure there are no preventable errors on your lingo generated documents, eZCom asks your company to input this information into your Lingo trading partner settings prior to creating and sending any EDI documents. This is just one way that eZCom helps you avoid unnecessary trading partner assessed chargebacks. In the event that your trading partner settings are the same for more than one trading partner, there is a short cut where you may copy the settings from one trading partner to another. By taking a few minutes to enter your trading partner settings from the start, you will save both time and money!

Once you have entered your information into your Lingo settings, your EDI implementations specialist will initiate the EDI testing phase by requesting a test order from your trading partner.  When the test order arrives, you will use it to create test documents (i.e. ASN, invoice, GS1-128 label, etc.) with the help of our Customer Support Team via a scheduled appointment. Your EDI implementations specialist will work with the trading partner to review the test documents for accuracy.

Together, we’ll successfully complete the EDI testing process so that your company can be moved to EDI production and start receiving live orders.

Happy Shipping!!!

Frequently Asked Questions About EDI Setup with a New Trading Partner

What happens after I request an EDI setup with a new trading partner?
Your request is assigned to an eZCom EDI implementation specialist who will oversee the entire onboarding process, coordinate with your trading partner, and keep you informed every step of the way.

Who creates my EDI ID and connection?
Your eZCom implementation specialist will create your EDI qualifier and ID and establish a secure connection with your new trading partner.

Will I be kept in the loop during the process?
Yes. You’ll be copied on all relevant communications between eZCom and your trading partner so you always know the status of your setup.

Why do I need to enter default settings in Lingo for each trading partner?
Each trading partner has different requirements (like invoice terms or label specs). By entering this info into Lingo, you reduce the risk of errors and avoid potential chargebacks.

Can I copy settings from one trading partner to another?
Yes. If multiple trading partners use the same settings, you can copy them within Lingo to save time.

What is the EDI testing phase?
After entering your trading partner settings, eZCom will request a test order. You’ll use this order to generate sample documents (like ASN or invoice), which will be reviewed by both eZCom and your trading partner.

What happens after testing is complete?
Once all test documents are approved, you’ll be moved into EDI production and can begin receiving live orders from your new trading partner.
